We are seeking a Senior Grants Analyst who will be responsible for financial and business analyses of grants received by Community Health Investment in the Los Angeles Service Area This position also includes assisting in developing budgets, monitoring and tracking expenses, preparation of timely invoices to private foundations and government agencies that meet grantor's requirements and timely receipt of agreed upon revenue by Providence. This position requires the ability to interpret and administer a variety of financial and non-financial information to fulfill various compliance requirements, allowable expenditures, and the preparation of timely reports that meet the funding agency's financial and other reporting requirements.

In this position you will:

  • Prepare CHI – LA monthly financial statements and critically reviews, by cost center, for trends and variance analysis related to budget as well as specific grant requirements

  • Assist in preparation of annual operating budgets, ad hoc financial reports, and any required special analysis

  • Ensure that timely monthly or quarterly invoices, dependent upon the terms and conditions of the grantor, are submitted to funding agency which includes monthly review of program expenses, matching expenses to budget categories defined by funding agency, re-classification of expenses to correct budget category, as needed, and submission of invoice to funding agency

  • Work directly with vendors, external agencies and sub grantees to manage financial reporting including timely submission of invoices, process and outcome data outlined in grant agreements, and coordination of invoices to assure timely payment by account payables unit

  • Establish new projects in financial system and monitor expenses on existing projects. Ensure compliance with grant restrictions, whether the source of grantor funds is private sector or government, including adherence to regulations, policies, agency guidelines, and generally accepted accounting principles

  • Prepare and submit financial reports and coordinate preparation and submission of narrative and other donor required reports

  • Work with Program leads across Service Area to establish trackers and monitor expenses based on approved budget to ensure timely preparation of monthly invoices or distributions

  • For government grants, create monthly invoice for submission to funding agency that includes all personnel and non-personnel expenses; submit progress reports, budget modifications and no-cost extensions along with invoice, in accordance with funding agency requirements

  • For private sector grants, review monthly expenses, prepare detailed summary, and request distribution of funds held by Providence Philanthropy Foundation to correct CHI Regional cost center

  • Provide supplementary reports and supporting documentation to funding agency, as requested

  • Create and maintain actual, budget, and variance reports

  • Review and monitor CHI grant expenditures against award budgets for all ministries in the Los Angeles Service Area

  • Demonstrate responsibility and accountability for own professional practice in regard to:

  • Obtaining necessary knowledge and skill needed to maintain competence and certifications

  • Completing all mandatory requirements, including annual safety programs and compliance polices

  • Volunteering or accepting assignments for projects

Qualifications:

Required qualifications:

  • Bachelor's Degree Finance/ Economics/ Accounting/ Business Administration or other relevant field

  • 5 years related field such as hospital or medical center, non-profit, local or state government, grants management (financial analysis, budgeting or accounting)

  • Ability to manage relationships with multiple constituents and staff

  • Demonstrated ability to compose clear, concise, logical and grammatically correct correspondence, reports, memos and other forms of written communication

  • Strong skills in editing and formatting of documents

  • Excel skills, including advanced functions and formulas, data validation and analysis, PIVOT tables, and macros

  • Utilizing Insights application to explore encounter and cost information related to ad hoc requests from leadership, and for program evaluation

  • Special Skills:

  • Must possess the ability to effectively communicate fiscal information to management, administration, and other large groups

  • Requires strong analytical and problem solving skills

  • Ability to deal effectively with many people across a broad range of cultural backgrounds and ages

  • Ability to work independently with little or no supervision

  • Proficient in P.C. software applications including, Microsoft Word, Excel, PowerPoint, Outlook, etc.

  • Ability to handle multiple tasks and appropriately prioritize

  • Ability to maintain patient confidentiality and privacy in accordance with Providence
