Providence Clinic Supervisor - SJPP in Santa Monica, California
Providence is calling a Clinic Supervisor (Full-Time/Day Shift) to Providence Saint Johns Medical Foundation in Santa Monica, CA.
We are seeking a Clinic Supervisor who will coordinate, and manage the activities of the outpatient clinic(s) that includes but is not limited to: Leading staff to ensure that patient care services are provided in a timely manner which is sensitive to the patient's physical, psychological, and spiritual needs; ensuring compliance with established clinic policies and procedures; overseeing business and revenue cycle operations in the clinic; performing all duties in a manner which promotes team concept and reflects the Providence Health System mission, philosophy and core values.
In this position you will have the following responsibilities:
Assist with components of clinic staff hiring, i.e. selection, training, and on boarding
Provide orientation of all new office staff following the regional and site specific guidelines
Supervise all aspects of daily functions of the clinic; implement actions plans to achieve department and system-wide goals, and serve as a role model to clinic staff.
Monitor productivity of staff to ensure proper staffing and equitable distribution of staff workload.
Maintain adequate staffing levels and proficiency of clinical staff to provide service via telephone or office visits.
Identify ongoing training needs of staff and work with manager to develop a plan for getting these needs addressed.
Ensure that time cards are filled out in a timely for all staff and providers.
Develop and monitor quality improvement action plan for the clinic in conjunction with the manager.
Conduct regular clinic staff meetings to facilitate communication.
Collaborate with other ambulatory clinics and hospital, e.g., lab/x-ray, etc. to achieve interdisciplinary improvements.
Maintain a safe environment for staff and patients through awareness of surroundings and participation in the safety program.
Work with practice manager, clinical lead, physicians, and Administration in defining, maintaining, interpreting, and implementing standards of nursing and medical assistant practices related to ambulatory care and nursing practice. Conveys new information to care coordinators, scribes, nursing and MA staff as needed.
Prepare and/or analyze monthly statistical reports as requested by practice manager, Director and/or physicians.
Participate and provide feedback performance evaluations for staff in a timely manner.
In conjunction with practice manager to counsel employees on positive and negative performance, and recommends disciplinary action, as needed. Keeping practice manager apprised of all disciplinary action needs.
Coordinate with billing office regarding all billing and collections processes and procedures.
Identify and solve patients concerns, questions, and suggestions.
Oversee the facilities maintenance of the clinic building, offices and equipment.
Oversee ordering and inventory of office and medical supplies.
Prepare all accounts payable.
Manage coverage for staff time off requests.
Perform other related duties as requested.
Comply with hospital, department and unit standards including, but not limited to, safety, infection prevention, quality management, environmental, confidentiality, and patient care.
Demonstrate responsibility and accountability for own professional practice in regard to:
Attendance, punctuality and patient confidentiality.
Positive public relation image and working relationships.
Obtaining necessary knowledge and skill needed to maintain competence and certifications.
Completing all mandatory requirements, including annual generic competencies and annual physical.
Participate in the development and attainment of Health Clinic goals including:
Attending and participating in division meetings.
Volunteering or accepting assignments for projects.
Mission, vision and team ground rules.
Required qualification in this position includes:
Requires knowledge of health care environment, medical office policies, procedures and human resource management practices.
Management and leadership skills, especially ability to organize and conduct meetings.
Ability to successfully interact with clinic physicians.
Strong written and verbal communication and interpersonal skills required.
Problem solving, decision making, and implementation abilities.
Ability to develop and maintain effective teams.
Meet the mental and physical demands of this position.
Preferred qualification in this position includes:
Bachelor's Degree in Business and/or healthcare related
1 year supervisory experience.
