Providence is calling a Practice Manager II (Full-Time/Day Shift) to Providence Saint Johns Medical Foundation in Santa Monica, CA.

We are seeking a Practice Manager II who will provide ongoing leadership for the development and implementation of management and patient care systems to assure cost-effective and quality operations of the clinic. Ensure strategic integration of care and clinical practices to provide an optimal patient experience. Lead staff to ensure that patient care services are provided in a timely manner which are sensitive to the patient's physical, psychological, and spiritual needs. Ensures compliance with established clinical policies and procedures. Participate in PMI-wide special projects, committees or task forces as requested.

Must develop and implement day-to-day management strategies for effective and efficient clinic operations.

Assuring strategic integration of care and clinical practices to provide an optimal patient experience.

The accomplishment of long term projects while being responsible for daily clinic operations. Provide overall leadership within a rapidly changing competitive health care market place.

In this position you will have the following responsibilities:

  • Maintain confidentiality of all information related to patients, medical staff, employees, and as appropriate, other information

  • Demonstrate service excellence and positive interpersonal relations in dealing with others, including patients/families/members, employees, managers, medical staff, volunteers and community members, so that productivity and positive relations are maximized

  • Consistently demonstrate and incorporate principles of safety and infection control into daily activities as outlined in Environment of Care, Infection Control, and Exposure Control manuals and department safety policies/procedures. Consistently use personal protective equipment as required and takes appropriate precautions whenever there is potential for contact with blood, body fluids, chemicals and/or other hazardous materials. Maintain knowledge of work-appropriate aspects of environment of care programs, comply with policies and report unsafe conditions. Successfully complete Environment of Care HealthStream modules in the required time frames and participates in fire drills and emergency exercises

  • Complete annual mandatory education review and competency program

  • Oversee the clinic daily operations providing leadership and development to the support staff in the clinic, including access, scheduling, patient flow, telephones, information systems, medical records and patient care

  • Overall responsibility for recruitment, retention, training, compensation, and performance management of all clinic support staff

  • Analyze monthly statistical reports on clinic production and revenues

  • Recommend and implement process improvement plans to address areas of deficiency. Develop and monitor multiple clinic operating budgets. Assure clinic operate within budget

  • Oversees accounts payable, purchasing, payroll, billing and collection functions for the clinic

  • Analyze monthly statistical reports on clinic production and revenues

  • Prepare budget and identify opportunities to ensure clinic financial success

  • Develops strategies to achieve 3-5 year clinic goals in conjunction with the Medical Group strategies. Review, analyze and develop action plans from multiple data sources. Effectively communicate clinic needs up through the organization and recommend improvements


Required qualifications for this position include:

  • 4 years supervisory and/or management experience within a healthcare environment, medical group office, or outpatient facility

  • Experience developing key relationships within an integrated delivery system such as hospital, health plan and support departments

  • Knowledge of health care environment, medical office policies and procedures, general accounting procedures and human resource management practices

  • Strong written communication, verbal communication, and interpersonal skills

  • Ability to identify and solve problems, makes decisions, and implements changes

  • Ability to prioritize, plan and coordinate work activities

  • Demonstrated ability to successfully interact with clinic physician leadership and staff physicians to carry out clinic mission, goals and objectives

  • Strong knowledge of Practice Management Systems and Electronic Medical Records

  • Demonstrated management and leadership skills, particularly mentoring, coaching and conflict management

  • Personal style which emphasizes openness, visibility and approachability

  • Excellent listening and follow-through abilities and a willingness to accept constructive criticism

  • Ability to travel between facilities in an efficient manner

Preferred qualifications for this position include:

  • Bachelor's Degree in Business Administration, Healthcare Administration, Nursing or related field or equivalent educ/experience
