We are seeking a Administrative Assistant who will perform all staff and scheduling functions for daily and weekly assignments in conjunction with nursing leadership. Perform clerical and secretarial duties for the nursing services, support the Director of Nursing's calendar, complete in-voicing, registry utilization and invoicing. Respond appropriately to patients and families with knowledge of age specific needs based on scope of service of unit/department where assigned (Young Adult through Geriatric). Assist with staff Kronos and timecard reconciliation and verification.
In this position you will:
Utilizing established guidelines and matrix as related to staffing standards and competency levels, schedules routine and registry personnel.
Assists in maintaining records for nursing resource pool and outside registry personnel competency checklists. In adhering to regulatory requirements, obtains as needed verification of outside personnel license and/or certification, orientation and skills competency checklists.
Completes timecard processing of routine and registry staff.
Completes daily assignment sheet and maintains data.
Completes daily census logs and maintains data.
Maintains staffing attendance information.
Performs reconciliation of statements for temporary staffing agencies.
Generates daily productivity reports for staffing and monthly registry usage reports for the Nursing Division and other reports as needed.
Assists with maintaining and updating Director of Nursing calendar.
Records and transcribes registry weekly call meeting minutes.
Answers and screens all incoming phone calls, routing appropriately or recording and distributing message.
Collects and disburses mail.
Handles petty cash utilization and reconciliation.
Responsible for calling of on-call emergency personnel.
Maintains good working knowledge of hospital information system.
Accurately and legibly documents required information on daily Staffing sheets and pool timecard summary sheets.
Maintains confidentiality of all patient and hospital related information.
Adds all registry data into single source data base and maintains data records.
Assumes responsibility and accountability for own professional growth.
Attends staff development activities of department.
Participates in inservices and committees as assigned.
Participates in and can articulate department and facility performance improvement projects.
Through individual efforts, supports the Core Values for financial prudence.
Required qualifications for this position include:
Requires minimum typing speed of at least 45 WPM
General knowledge on how to operate office equipment/machines (i.e. fax machine, copier, etc.)
Requires knowledge of basic mathematics and use of calculator and adding machine
Good English usage such as spelling, grammar and punctuation
Requires ability to develop and organize filing systems. Must be able to accurately alphabetize and numerically file
Requires good working knowledge of facility computer system and Microsoft Word/Excel/Access/PowerPoint
